How we use your information

When you apply for a job with Tates of Sussex, this is what happens to the details you give us.

Who we are

Tates of Pyecombe Limited / Portslade Garages Limited ("we", "us") is the data controller for the information you give us when you apply for a job with Tates of Sussex. If you have any questions about how we use it, or want to use any of the rights below, contact us at officer@tatesofsussex.co.uk.

What we collect

  • What you tell us on the application form: your contact details, your work history, your answers to our questions, and your CV if you upload one.
  • Anything you tell us about adjustments you need for the recruitment process.
  • What happens during recruitment: interview notes and scores, test answers and results, and any job offer.
  • Emails between you and us about your application.

The equality monitoring questions at the end of the form are optional. Your answers are kept separately from your application, are never seen by the people deciding on it, and are only ever used as anonymous totals to check that our recruitment is fair.

Why we use it, and on what basis

We use your information to consider your application, arrange interviews and tests, make a decision, and, if we offer you a job, to start your employment. We do this because you have asked us to consider you for a job (taking steps at your request before entering into a contract) and because it is in our legitimate interest to recruit fairly and well.

Before anybody starts work we must check their right to work in the UK, which is a legal obligation.

If you tell us about a disability or health condition so that we can make adjustments, we use that information only to make those adjustments, under our obligations as an employer.

Decisions made automatically

Some jobs need something essential, such as the right to work in the UK or a particular driving licence. Where a job does, an answer on the application form showing that it is missing can end your application automatically, without a person reading it first. If that happens, we email to tell you what the job needed. If you think the decision is wrong, for example because you chose an answer by mistake, reply to that email or contact us at officer@tatesofsussex.co.uk, and a person will look at your application again.

Who sees it

Only the people involved in recruiting for the role: the recruiters, the people who interview you, and the managers who approve job offers. We do not sell your information or share it outside the company, except where the law requires us to.

How long we keep it

If you are not successful, we keep your application for 24 months after the vacancy closes, in case of any questions about the decision, and then delete or anonymise it. If you are offered a job and accept, your application becomes part of your employment record.

Your rights

You can ask to see the information we hold about you, ask us to correct it, ask us to delete it, or object to how we use it. Contact us at officer@tatesofsussex.co.uk. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
